SUMMARY

Historically, attendance and grading data has been copied from PowerSchool to WISE by S&I Support Specialists. Unfortunately, copying information in this way from one platform to another has not been an ideal method for managing seminary data. Because of this, a project was launched in 2019 to allow seminary data to flow freely between PowerSchool and WISE.

 

The “WISE-PowerSchool Connection” project (headed by Salt Lake) is due for completion during 2020.

 

For the WISE-PowerSchool Connection to work properly, we will need a common IDENTIFIER to help us identify and connect individual students in each platform. It has been decided that the best identifier to use will be the Church Membership Record Number (MRN).

 

Church Schools have been collecting the MRN as an optional field for a few years now as part of the Enrolment process. However, it will now be a requirement for all LDS Students to have an MRN entered into PowerSchool.



EXPECTATION OF SCHOOL OFFICES

In connection with this project, it will be necessary for each school teaching Seminary to help in the following ways:

  1. Watch the three-minute video provided to understand the project
  2. Become familiar with this article and the suggested supporting resources
  3. Assign a school leader to oversee this mini project
  4. Use the SQL reports provided to identify students with missing MRN’s
  5. Work with Office Assistants to enter any missing MRN’s
  6. Review these reports annually to make sure that the MRN information is always up to date



SUPPORTING RESOURCES & REMINDERS

Viewing a Summary

An SQL Report has been created to display a summary of the MRN data collected so far. To view the summary please do the following:

 

1. From the Start Page navigate to: SQL Reports > Student Enrolment Verification > MRN Count Summary

 

2. On the Run sqlReport page, enter the Start Year Level and End Year Level in the fields provided, then click the Submit button to run the report. As Seminary is taught in Year Levels 10-13, the values will always be 10 and 13.

 

3. An MRN Count Summary will be displayed. A summary of the columns and their meaning is provided as follows:

  • The first two columns show the Year Level and a tally of the Total # of Students in each Year Level.
  • The columns marked in BLUE display the Total # of LDS Students and a breakdown (by number and percentage) of how many of those students have an MRN recorded in PowerSchool and how many do not.
  • The columns marked in GREEN display the Total # of Non-LDS Students and a breakdown (by number and percentage) of how many of those students have an MRN recorded in PowerSchool and how many do not.

 

 

HINT: In this example it is showing that 96% of the LDS Students in Year 10 have an MRN recorded. It is also showing that across the entire school there are a total of 41 LDS Students (7%) that do not have an MRN recorded.



Identifying Students Without an MRN

An SQL Report has been created to identify and list all of the students that do not have an MRN recorded in PowerSchool. To view this list, please do the following:

 

1. From the Start Page navigate to: SQL Reports > Student Enrolment Verification > Students Without an MRN

 

2. On the Run sqlReport page, enter the Start Year Level and End Year Level in the fields provided, then click the Submit button to run the report. As Seminary is taught in Year Levels 10-13, the values will always be 10 and 13.


3. A list of all the students without an MRN will be displayed. Select Yes from the LDS Dropdown to filter for LDS students only.

 

4. Use the list as a reference point for identifying and chasing up students to retrieve missing MRN details.

Use the Edit Data button as a shortcut to enter the MRN details if they have been acquired.

 

HINT: Use the Search box to quickly search for a specific student using their Name or Student ID.



Inputting the Student MRN

The Student MRN field was added to PowerSchool a few years ago. Many students already have an MRN recorded in the database, but for student’s who need an MRN added, please do the following:

 

1. From the Start Page search for and select a student.

 

2. Once a student has been selected, you will be redirected to the student profile pages. Select the Information page from the left-hand navigation menu.

 

3. On the student information page, scroll down to the Office Information section and enter the Membership Record Number in the appropriate field. Click Submit, to save your changes.

 

HINT: You can also the SQL Report mentioned in the “Identifying Students Without an MRN” section above to quickly view and edit a student’s MRN.



FREQUENTLY ASKED QUESTIONS

Q. Can we call a Bishop or Ward Clerk directly to ask for an MRN Number?

No. Bishops and Ward Clerks should not be contacted directly for a student’s MRN details. Schools should not be collecting MRN details without proper authorization from the parent/guardian. Usually this information is collected via signed forms during the enrolment process.

 

Q. Do we need to enter an MRN for Non-Member Students?

No. Non-Member students should not have an MRN recorded in PowerSchool. The MRN field should be left blank for non-member students. Some schools have a habit of typing something like ‘Non-LDS’ in the MRN field but it would be preferable for schools to leave this field blank.

 

An SQL Report is available to help schools identify non-member students that may have had an MRN entered in to the MRN field accidentally or intentionally.
