OVERVIEW
Many of the files shared and used across the workforce are stored in two platforms known as MS Teams and SharePoint. When viewing or downloading documents, videos, and other files in FreshDesk, you will often be redirected to view or download the file via the MS Teams or SharePoint platform.
If you are already logged in to Office365 with your LDS Account, then you will not have any issues accessing these files. However, if you are not already logged in to Office365 on your browser, you will need to sign in. This article will guide users through the process of logging in and accessing/downloading SharePoint/MS Teams files.

Logging in With LDS Account
To view files saved in SharePoint or MS Teams, users will usually be prompted to validate their credentials by logging in with their LDS Account. If you are already logged in to Office365 with your LDS Account, you will have instant access to online files from SharePoint or MS Teams. However, if you are not logged in (or your online session has expired) you will need to enter your LDS Account credentials as follows:
1. Enter your work email address and then click the “Next” button.
2. Enter your password, then click the “Sign in” button.
3. Depending on your location and security settings, you may also be required to enter a verification code for additional security. Most users will be sent a verification code to their mobile phone. Check your txt messages to find the unique code and enter the code into the field provided. Then click “Verify”. To minimize the number of times you are asked to verify, be sure the check the box labelled “Don’t ask again for 30 days”.
Note: A new code will be generated each time you are asked to verify. If you do not enter the code within a minute or so, your access will be denied. be sure to have your mobile phone handy or you will be asked to restart the authentication process.
4. To minimize the number of times you are asked to sign-in, be sure to check the box labelled “Don’t show this again”. Then click “Yes” to continue.
Viewing & Downloading Videos, Images, and PDFs
1. Videos, PDFs, and images will usually open with a simple option menu in the top-left area of the browser window. The options available to you will be based on your level of access granted for that particular file. Most users will have the option to share and download files. Simply click on the “Download” option to download the file.
2. When viewing videos in the browser, simply click on the icons provided at the bottom of the browser window to play, pause, adjust the volume, or expand the video size.
Note: Videos are typically saved in a medium resolution format to optimize for limited bandwidth in the islands. The play-back quality of videos displayed in the browser will adjust automatically based on the local bandwidth available. If the video appears pixelated or appears “choppy”, try viewing the video again at a different time of the day when there is more bandwidth available. Alternatively, use the download button to save for viewing offline at a different time.
Viewing & Downloading Slideshows, Spreadsheets, and Word Documents
Microsoft Office documents such as slideshows and word files, appear differently in the browser from videos and images. Office files viewed in SharePoint or MS Teams will be displayed in a similar way to how files are displayed when using office files on your computer. A simplified version of the Microsoft “ribbon” will appear at the top of the document.
2. You can use the ribbon and menu options as per your normal Microsoft office ribbon. You can also use the mouse or arrow buttons to move through the document pages or slides.
3. If you prefer to view the slideshow in your Desktop App, use the option provided in the ribbon to launch your desktop app. Click on the link labelled "Open in Desktop App".
4. To save a copy of the file, click on the “File” menu and then select the option to “Save a Copy” or “Download As” and specify the location to which you would like to save the file.
Blank Browser Window Issue
A common issue that has been reported when trying to view online files, is the appearance of a blank browser window. If this happens to you, simply refresh your browser window, and the file should appear momentarily.
